Director of First Impressions & Client Service Associate

The Ray Olson Family Financial Planning team is expanding!  We’re an independent firm specializing in evidence-based wealth management.  We proudly foster a genuine, family-focused, approachable, and dedicated team environment.  We seek an organized, reliable, and motivated professional with superior customer service, problem-solving skills, and attention to detail.  This is a full-time position based in Richmond, Virginia. 

Hybrid Role Summary

The Director of First Impressions is the firm’s first face and voice, pivotal in setting the tone of professionalism and warmth with all who enter our office. This role embodies our values of kindness, trust, service, and excellence, ensuring every interaction is welcoming and reflects our commitment to client success.

The Client Service Associate routinely interacts with clients, supports our advisors, and ensures smooth office operations. By maintaining an organized workflow, responding to client inquiries, and managing schedules and meetings, this position helps drive client satisfaction and retention and builds lasting relationships in each interaction.

Essential Duties and Responsibilities

  • Greet clients and visitors warmly and professionally.
  • Serve as clients’ trusted point of contact, ensuring they feel welcomed, valued, and understood.
  • Manage client needs: processing account activities, providing time-sensitive information and education, and resolving problems promptly and accurately while ensuring documentation and record keeping adhere to compliance standards.
  • Maintain CRM database; define and ensure adherence to appropriate client service models.
  • Assist in client meeting preparation and follow-up, including assembling requisite paperwork, report generation, appointment scheduling, and post-meeting documentation.
  • Successfully partner with Broker Dealer & Investment Partners for new account establishment, maintenance, and compliance.
  • Process, submit, and service all account paperwork/requests; follow through to completion utilizing paperless procedures (including eSignature) where available.

Knowledge, Skills, and Abilities

  • People focused with excellent verbal and written communication skills.
  • Ability to build solid and trusting relationships
  • Self-motivated with sound judgment, operating without the need for direct control.
  • Highly organized and detail-oriented.
  • Securitites Industry Essentials® (SIE®) Exam preferred.

Education and Experience

  • A bachelor’s or associate’s degree in a business-related field is preferred.
  • Previous experience with financial services and/or client services is preferred.
